What we ask

• Confirmation that you've received the Agency Agreement from your Yuvello agent
• Confirmation that you've signed and returned it

Why we need it

The Agency Agreement formally appoints Yuvello. It sets out the agreed fees and service level in writing, and it authorises us to market the property and act for you. We can't begin until it's signed.

What we ask

• Your name, email and phone number
• Bank name, account holder name, sort code and account number

Why we need it

We use your contact details for updates, offers and approvals. Rent is paid only into an account in your name, and we check that the account name matches yours. This protects you against payment fraud.

What we ask

• Photo ID: passport or driving licence
• Proof of address: a utility bill or bank statement from the last 3 months
• Proof of ownership: Land Registry title, title deeds or a mortgage statement

Why we need it

UK anti-money laundering regulations require agents to verify who they act for. Checking ownership also prevents rental fraud, where someone tries to let a property they don't own. These checks protect you, your tenant and Yuvello.

What we ask

• Gas Safety Certificate (CP12), if the property has gas
• Electrical Installation Condition Report (EICR)
• Energy Performance Certificate (EPC)
• Any licences or other documents (HMO or selective licence, fire risk assessment)
• Confirmation of smoke alarms, CO alarms, furniture fire safety and Legionella risk assessment

Why we need it

A property can't be legally let without these in place. A gas safety check is needed every year, and an electrical inspection at least every five years. The EPC must normally be rated E or above. There must be a smoke alarm on every storey, and a CO alarm in any room with a fixed combustion appliance. Tenants must receive copies before they move in. Missing documents can lead to fines, and they can limit your right to regain possession later.

What we ask

• Property address, type, bedrooms and furnishing
• Service level: fully managed, rent collection or let only
• Preferred tenants, target rent and availability date
• Whether there's a mortgage, and whether you have consent to let

Why we need it

This lets us value the rent accurately, write a correct listing and market it to the right tenants. Most residential mortgages require the lender's consent before the property is let, so we confirm this up front to avoid problems later.

What we ask

• Whether the property is vacant, tenanted or owner-occupied
• How we can get access: keys, meeting you there, or via the current tenant or concierge
• Marketing preferences: photos, a To Let board, a floorplan

Why we need it

We need access to take professional photos, measure for a floorplan and run viewings. If a tenant is still living there, we arrange visits with them and give the proper notice.

What we ask

• Confirmation that the information is accurate
• Confirmation that you own the property, or are authorised to act for the owner

Why we need it

We rely on this information when we market the property and draw up the tenancy. Your declaration confirms that it's correct and that you have the right to let the property.
